What’s included.

Start with a documented plan for the tools your team depends on. The services and responsibilities are agreed around your existing environment.

  • Devices and access: review equipment, user accounts, permissions, and onboarding requirements.
  • Microsoft 365 and email: organize business email, collaboration, and account administration.
  • Backup planning: define what needs protection, who owns recovery, and how recovery is checked.
  • Ongoing support: establish a clear request process, documentation, and priorities for improvement.

Where this helps.

  • New employees need the right accounts and tools on their first day.
  • Departing employees need a consistent access-removal process.
  • Files and email are spread across disconnected accounts.
  • Your team is unsure who owns support, backups, or administrative access.

A clearer first month.

We review the current setup, identify the most important gaps, and agree on an implementation plan. You receive a practical view of systems, responsibilities, and next steps before changes are made.

Illustrative project: employee onboarding.

Problem: New starters receive accounts and equipment through separate, informal requests.

Solution: Bring account creation, device preparation, access approval, and handover into a documented checklist with named owners.

Intended outcome: A repeatable first-day setup with clearer responsibility and fewer missed steps. This is a hypothetical example, not a client result.

Start with your current setup.

Bring a list of the platforms you use, your most frequent support issues, and the changes ahead. We will use it to define an appropriate scope. Licensing, response expectations, and service coverage are confirmed in the written agreement.

What your team takes away.

  • A documented inventory of the accounts, devices, and services in scope.
  • Clear access ownership and a repeatable onboarding and offboarding checklist.
  • Agreed priorities for Microsoft 365, shared information, backups, and device readiness.
  • A handover that identifies support contacts, administrative responsibilities, and outstanding work.

A practical transition into support.

  1. Review the starting point. Identify users, devices, subscriptions, administrators, and the problems affecting everyday work.
  2. Agree the scope. Confirm which systems are supported, what needs a separate project, and how requests will be handled.
  3. Address the priority gaps. Sequence access, email, device, and backup improvements around business needs and dependencies.
  4. Document and review. Record the setup, assign ownership, and agree how future changes and recurring issues are reviewed.

Questions about managed IT.

Can you work with our existing Microsoft 365 tenant?

Start by reviewing the tenant, subscriptions, administrator access, and current configuration. Changes should be planned around the business and the services already in place.

Do we need to replace all our equipment?

No replacement should be assumed before a review. Age, compatibility, support status, security needs, and the work each device supports inform the recommendation.

What support hours and response times are included?

Support coverage, escalation contacts, response targets, and any onsite work are agreed in the service scope. The website does not promise 24/7 coverage or a response guarantee.

Are Microsoft licenses and backup subscriptions included?

The proposal identifies subscriptions, implementation, and ongoing support separately so you can see what is included and what is billed by a vendor.

How to compare managed IT proposals

Compare the supported environment and responsibilities before comparing the monthly total. A proposal for a few cloud accounts is different from one covering devices, multiple offices, backup recovery, and a busy support desk.

  • Coverage: list users, devices, locations, applications, and exclusions.
  • Service expectations: separate response targets from resolution commitments and confirm escalation arrangements.
  • Recovery: identify protected systems, retention requirements, restore testing, and the owner of each recovery task.
  • Commercial terms: separate onboarding, recurring support, subscriptions, project work, and exit assistance.

Ask for a written responsibility table. It should show what your team owns, what FortLyn would handle, and what remains with the software vendor. Pricing follows that scope; a headline per-user figure alone is not enough to compare coverage.

Prepare for an IT review

Bring a user and device count, a list of subscriptions, examples of recurring issues, and upcoming hiring or office changes. Do not send passwords or recovery codes through an inquiry form.

Use the business IT planning checklist, explore Microsoft 365 setup and migration, or plan a Technology & Workflow Review.
